The Marketing Integration Project Coordinator collaborates with internal and external partners to ensure the timely, accurate, and efficient delivery of marketing projects. This role involves managing a portfolio of marketing deliverables—such as campaigns, digital content, emails, and collateral—from ideation to delivery, while also identifying and integrating efficiencies and automations within Adobe Workfront and other technologies.

This role is divided equally, with 50% of the time dedicated to project coordination. Responsibilities include gathering project requirements, designing workflows, prioritizing projects, and resource planning. The coordinator will also identify, communicate, and track the potential impact of their team’s work on various areas within the enterprise, including collateral, digital presence, customer service, sales, marketing, programming, supply, and other departments.

The Project Coordinator will excel in organizing and planning large initiatives or programs, such as campaigns, promotions, events, product rollouts, and regulatory changes. The other 50% of the role focuses on using Adobe Workfront development knowledge in cooperation with internal and external technology partners to identify and implement efficiencies, including automations using Workfront, Workfront Fusion, native Workfront integrations, and other technologies. Additionally, you will design reports and dashboards to effectively illustrate completed and ongoing work, and serve as a resource for other Workfront system administrator functions.

Responsibilities:

  • Collaborates with managers, stakeholders, reviewers, and contributors to gather and review program and project requirements, accurately recording project details and establishing timelines using Adobe Workfront.
  • Tailors individual projects as needed based on creation, review, and distribution parameters.
  • Monitors and adjusts projects and programs according to prioritization throughout the project lifecycle, communicating progress through appropriate channels, including daily standups with creative team members.
  • Identifies areas within Workfront and individual projects that require realignment and reassignment as needed.
  • Identifies gaps and roadblocks, assesses project risks, and communicates these risks promptly.
  • Coordinates the on-time delivery of multiple projects for large rollouts, including product launches, regulatory changes, campaigns, and other company initiatives.
  • Partners with Legal, Compliance, Actuary, Accounting, and Finance departments to review and approve collateral requiring their expertise.
  • Closes the project lifecycle by ensuring all distribution and post-production tasks are completed.
  • Administers the project workflow system, including user onboarding, training, and reporting.
  • Stays up-to-date on Workfront enhancements and industry best practices.
  • Updates and expands existing user documentation to help users and stakeholders adopt evolving processes and platforms.
  • Ensures accurate reporting and analytics for all completed and ongoing projects and collateral.
  • Continuously considers streamlining processes for increased efficiency.
  • Researches and integrates Workfront automations and process efficiencies, using native integrations and Workfront Fusion, and may assist with API integrations if needed.
  • Monitors, troubleshoots, and resolves issues within Workfront and Fusion platforms to ensure optimal performance and reliability. 

Qualifications:

  • Bachelor’s Degree
  • Experience creating projects in Workfront using request queues and templates.
  • Experience designing and implementing integrations for Workfront workflows.
  • 2+ years of experience with Workfront Fusion.
  • 2+ years of experience implementing Workfront native integrations such as Adobe Creative Suite, SharePoint, and OneDrive.
  • Basic project management capabilities, with an understanding of Kanban, Agile, and Waterfall methodologies being a plus.
  • Ability to prioritize and manage multiple projects simultaneously in a fast-paced and collaborative environment. Strong time-management skills and the ability to balance independent and collaborative work are essential.
  • Strong oral and written communication skills, including the ability to interact with technical peers.
  • Ability to effectively illustrate and present information and respond to questions from groups, including process mapping and reporting on milestones.
  • Proficiency in Microsoft Office applications, primarily Outlook, Word, and Excel, as well as Adobe Acrobat and Adobe Workfront. Experience with design programs and elements is a plus. Familiarity with MS Whiteboard, Miro, or Visio is also advantageous.
